Sales Coordinator – Back Office
Department: Sales & Distribution
Location: Bangalore
Reporting To: Sales Manager / Regional Head
Job Objective
To provide administrative and operational support to the sales team, ensuring smooth order processing, customer communication, and coordination across departments to facilitate timely delivery and client satisfaction.
Key Responsibilities
- Process customer orders via email, phone, or ERP system and ensure accuracy in pricing, product codes, and delivery timelines
- Coordinate with warehouse, logistics, and finance teams for order fulfillment and invoicing
- Maintain and update customer master data, sales records, and inventory reports
- Generate and analyze sales performance reports, debtor ledgers, and dispatch summaries
- Handle customer queries, follow-ups, and complaints professionally
- Support field sales representatives with documentation, quotations, and promotional materials
- Assist in preparing monthly sales forecasts and tracking targets
- Ensure compliance with pharmaceutical regulations and internal SOPs
- Maintain filing systems for purchase orders, invoices, and COAs
- Liaise with vendors and internal departments for product availability and pricing updates
Skills & Qualifications
- Bachelor’s degree in Commerce, Business Administration, or Life Sciences
- 2–4 years of experience in pharmaceutical sales coordination or back-office operations
- Proficiency in MS Excel and CRM tools
- Strong communication and organizational skills
- Attention to detail and ability to multitask under pressure
- Knowledge of pharmaceutical distribution norms and documentation (e.g., COA, batch tracking)
Preferred Attributes
- Experience in pharma trading or distribution environment
- Familiarity with regulatory documentation and cold chain logistics
- Ability to work independently and collaborate with cross-functional teams
Area Sales Manager
Department: Technical Sales / Business Development
Location: Bangalore
Reporting To: Managing Partner
Job Objective
To drive sales and business development of pharmaceutical-grade raw materials, excipients, reagents, and laboratory instruments by engaging with formulation units, R&D labs, and procurement teams across the assigned territory.
Key Responsibilities
- Identify and engage with formulation companies, CROs, and bulk drug manufacturers for product promotion
- Develop and execute territory-wise sales strategies for raw materials (e.g., APIs, excipients) and lab instruments (e.g., HPLC, dissolution testers, balances)
- Conduct technical presentations and product demos to R&D and QC teams
- Collaborate with application specialists and product managers for customized solutions
- Maintain strong relationships with purchase heads, scientists, and decision-makers
- Monitor competitor activity and market trends to refine sales approach
- Coordinate with internal teams for quotations, logistics, and regulatory documentation (COA, MSDS, etc.)
- Achieve monthly and quarterly sales targets and report performance metrics
- Participate in industry exhibitions, seminars, and vendor meets
- Ensure compliance with pharma-grade quality standards and customer SOPs
Skills & Qualifications
- Bachelor’s degree in Chemistry, Life Sciences, Pharmacy, or Engineering
- 4–6 years of experience in B2B sales of pharma raw materials or lab instruments
- Strong technical understanding of analytical instruments and formulation processes
- Excellent communication, negotiation, and presentation skills
- Familiarity with CRM tools, ERP systems, and regulatory documentation
- Ability to travel extensively and manage client relationships independently
Preferred Attributes
- Experience selling to formulation R&D, QC labs, or procurement teams
- Knowledge of ICH guidelines, GMP documentation, and pharma-grade certifications
- Network of contacts in pharma hubs like Hyderabad, Ahmedabad, or Mumbai
- Commercial acumen with solution-oriented mindset
